Openn lets you customise offer and observer forms to match your business processes. Both agency administrators and individual agents can create tailored forms that collect exactly the information needed. The "Offer form" tab (formerly "Terms") and the default forms screen provide controls to customise each question field.
FORM HIERARCHY (WHICH FORM APPLIES)
When a property is created, the offer form used is determined in this order:
- Agent-level form: applies across all of that agent's listings unless overridden.
- Agency-level form: used if the primary agent has no default form, giving all agents a standardised structure.
- Standard Openn form: the fallback used if no default is set at agent or agency level.
FIELD CUSTOMISATION OPTIONS
- Mandatory fields: enable the 'Mandatory' toggle for fields that must be completed before submission.
- Default value: enable the default value toggle and set a value to pre-populate a field (e.g. standard terms). Some fields, such as Document ID or Buyer address, are unique per offer and can't have defaults.
- Read-only fields: enable the 'Read-only' toggle to display information the buyer can't edit (only available when a default value is set).
- Hide fields: click 'Hide' to remove fields not required for your process.
ADD CUSTOM QUESTIONS
You can add four types of custom question: Text, Date, Amount (numerical/currency), and Multiple choice. Add them in the 'Additional Information' subsection of each form section using 'Add question'. Custom questions support the same settings (mandatory, default value, read-only). Edit labels and options by double-clicking the text.
CONTRACT INTEGRATION
Information collected through custom questions can be automatically populated into your contract documents, removing data re-entry and keeping the offer form and final paperwork consistent.
